1. Scope of this policy
This Privacy Policy describes how SynapDesk may process information when you visit synapdesk.app, create an account, use a SynapDesk workspace, or interact with a SynapDesk website chat widget.
2. Information we process
Depending on how you use the service, we may process account and contact details, authentication records, workspace settings, team-member and role information, billing records, AI credit activity, support requests, device details, and technical logs.
Workspace owners and their teams may add customer conversations, contact profiles, internal notes, knowledge-base articles, and other workspace content. The information a workspace collects from its own customers is controlled by that workspace, which is responsible for providing any notices or obtaining permissions required for its use.
3. Website chat widget information
When a visitor uses a SynapDesk website chat widget, the widget may process the conversation, contact details provided by the visitor, technical information needed to deliver the chat, and configuration settings chosen by the workspace. Conversations are made available to the workspace team through the shared inbox.
Widget branding and white-label settings may also be stored as workspace configuration. A paid additional seat or AI credit package can unlock a customer-facing widget without SynapDesk branding.
4. AI Agent processing
If a workspace enables the AI Agent, relevant knowledge-base material, conversation context, and instructions may be processed to generate or suggest a customer reply. AI credit activity may be recorded so the workspace can understand usage and manage purchases.
Workspace teams control their knowledge, configuration, and human handoffs. AI outputs may be reviewed, edited, rejected, or sent by a team member. The AI Agent should not be treated as a source of guaranteed or professional advice.
5. How we use information
We may use information to create and authenticate accounts, operate workspaces, deliver website chats, store conversation history, provide customer support, process billing and AI credit activity, maintain service reliability, detect misuse, communicate product changes, and meet legal or administrative obligations.
We may also use aggregated or de-identified information to understand service usage and improve SynapDesk, where permitted and where the information no longer identifies an individual.
6. Workspace content and service data
Workspace content belongs to or is controlled by the workspace that submits it. SynapDesk processes that content to provide the requested support workspace, including inbox, customer context, knowledge base, website widget, and AI Agent features when enabled.
SynapDesk service data, such as account records, billing events, usage records, technical logs, and configuration needed to operate the service, may be managed by SynapDesk subject to this policy and the applicable agreement.
7. Service providers
We may use selected providers for hosting and infrastructure, authentication, email delivery, payments, analytics, customer support, and AI processing. Providers may access information only as needed to perform services for SynapDesk, under their applicable agreements and instructions.
This policy does not constitute a complete subprocessor list. Provider disclosures should be kept current after SynapDesk confirms its production vendors and reviews the required notices.
8. Retention and deletion
We retain information for as long as needed to provide SynapDesk, maintain workspace history, process transactions, meet legal obligations, resolve disputes, prevent abuse, and maintain appropriate operational records. Retention periods may differ by information type and account status.
Workspace owners may request export or deletion by contacting hello@synapdesk.app. After deletion or account closure, limited copies may remain temporarily in backups or records that must be retained for a legitimate purpose.
9. Security and confidentiality
We use reasonable administrative, technical, and organizational measures intended to protect information from unauthorized access, loss, misuse, or alteration. No internet service can eliminate every risk, and teams are responsible for protecting credentials and managing workspace access.
If we become aware of an issue that requires communication under applicable law or an agreement, we will follow the applicable notice process.
10. Your choices and rights
Depending on your location and relationship with a workspace, you may be able to request access to, correction of, export of, deletion of, or restrictions on certain information. You may also be able to object to specific processing where applicable.
Send requests to hello@synapdesk.app. We may need to verify the request and coordinate with the workspace that controls the information before responding.
11. Cookies and technical information
SynapDesk may use cookies or similar technical tools that are necessary for authentication, security, preferences, and basic service operation. If optional analytics or other tools are introduced, the final policy should describe them and any available choices accurately.
12. Children's privacy
SynapDesk is intended for businesses and teams, not for children to use independently. Do not create an account or submit a child's personal information unless you have the authority and permissions required to do so.
13. International processing
SynapDesk and its service providers may process information in locations different from where a workspace or customer is located. The final policy and agreements should identify applicable transfer mechanisms and location-specific requirements after the production infrastructure is confirmed.
14. Policy updates
We may update this policy as SynapDesk, its providers, or applicable requirements change. The updated version will include a revised date or other notice where appropriate. Material changes should be communicated through the service or another reasonable channel.
